Admin Executive, Practice Admin

Responsibilities

Engagement Letter & Proposal Management

  • Maintain engagement letters and manage the proposal control list by recording, tracking status, performing completeness checks, and ensuring proper filing.
  • Ensure timely recording and monitoring of engagement letters, proposals, and supporting documents.

Administrative & Documentation Support

  • Maintain client contact information and update internal databases.
  • Organize and monitor hard copy and soft copy engagement files, ensuring accuracy and completeness.
  • Oversee and monitor the Document Centre for the Tax & Advisory Department, ensuring effective control and compliance with firm policies.

Office & Departmental Support

  • Manage office administration matters such as maintaining office supplies and supporting smooth daily operations.
  • Monitor billing instructions to ensure accuracy and timely submission.
  • Assist in coordinating training arrangements for the department.
  • Manage the Learning Management System (LMS) and monitor staff training hours to ensure compliance with the firm’s CPD/learning policy.
  • Support management team in practice administration tasks related to Tax & Advisory services.

Process Improvement & Compliance

  • Ensure adherence to firm policies and procedures in all administrative matters.
  • Proactively identify areas for efficiency and workflow improvements within the practice administration function.
  • Prepare Standard Operating Procedures (SOPs) and update them as required to reflect process improvements and compliance requirements.

Other Responsibilities

  • Carry out other tasks delegated by the Head of Department (HOD) or direct superior.

Requirements

  • Bachelor’s degree in Business Administration, Management, Accounting, or related field (preferred).
  • Strong organizational, documentation, and time management skills with high attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Good command of English and Khmer (both written and spoken); knowledge of Chinese is an advantage.
  • Ability to handle confidential information with integrity and discretion.
  • Strong interpersonal and communication skills to liaise with clients and internal teams.
  • Strong sense of ownership and able to work independently with minimal supervision.
  • Self-motivated, proactive, and able to manage multiple tasks under tight deadlines.
